PROJECTS ADMINISTRATIVE OFFICER

The Projects Administrative Officer ensures the efficient monitoring of the work done in projects and the proper reporting of work by partners. It also includes tasks connected to collection of data from project partners, analysis of the data and preparation of short reports, sometimes connected to dissemination activities or quality aspects of the project.
Experience required:
- Have worked in EU-funded projects already
- Working in a multi-national, multi-cultural, multi-lingual environment
- Working in English (expected level: written and spoken Proficiency)
- Working in an educational/university environment
- Ability to work from a distance and communicate effectively by email
- Persistence
- Flexibility
- “Can do” approach
- Good PC working knowledge - Word, Excel, PowerPoint, e-mailing, internet, social media
- Sense of service
Type of work to carry out:
- Monitor the progress of the project and the completion of milestones
- Collects reports from partners and double-checks suitability
- Develop forms and records to document project activities
- Set up files to ensure that all project information is appropriately documented and secured
- Organise meetings, takes notes of the discussions and keeps formal record of them
- Actively participate in the preparation of Reports for the EC at mid-term and at the end of the projects
- Plans, monitors and fulfils the completion of multiple tasks allocated to eucen in projects coordinated by others
- Communicates with the project coordinators
- Keeps track of deadlines
- Reports work done and trips undertaken following the specific rules for each one
- Establishes synergies between projects and its stakeholders
- Collaborates with the Project Coordinator and Financial Manager
- Actively contributes to social media posting
- Actively contributes to newsletters and general dissemination of projects

The Projects Officer ensures the efficient day-to-day operation of the search for opportunities, planning of proposals and implementation and tracking of projects and their specified deliverables.
Experience required:
- Working in a multi-national, multi-cultural, multi-lingual environment
- Working in English (expected level: written and spoken Proficiency)
- Working in an educational/university environment
- Ability to work from a distance and communicate effectively by email
- Ability to present ideas and project results clearly and effectively to small and large groups of people

Type of work to carry out:
- Interpret regulations and guidelines of programme funding grants, cooperative agreements and contracts
- Monitor the progress of the project and the completion of milestones
- Assist the Project Coordinator to execute the deliverables of the project according to the project plan
- Develop forms and records to document project activities
- Set up files to ensure that all project information is appropriately documented and secured
- Facilitate the flow of essential information among the team
- Organise meetings, takes notes of the discussions and keeps formal record of them
- Present the project and its outputs at different levels and in different environments
- Review the quality of the work completed by the partners to ensure that it meets all the standards
- Actively participate in the preparation of Reports for the EC at mid-term and at the end of the projects
- Establish synergies between projects and its stakeholders
- Identify and evaluate risks for eucen in each project
- Regular searching for new Calls of proposals relevant for and in line with eucen
- Collect good practices from different fields
- Results analysis
- Report writing
